Valeco Recruitment are delighted to bring an exclusive role to market for our client in the creative industry, they are an established brand who have a strong reputation on the market, and they are now seeking to hire a permanent full time Executive Assistant/Office Manager to join them over the next two to three weeks.

Standalone role where you will be responsible for the running of the office from administration to facilities to working with clients and supporting the directors as their EA.

A hybrid role where you will be kept busy and still have a great variety of tasks and responsibilities. Currently home based our client is hoping to be returning to the office in stages over the coming months with the end goal being office based full time, but to be honest having had the opportunity to have a tour of the space it’s pretty cool! and in an amazing city centre location for the bus, train, or tram(unfortunately no free parking) 

Reporting into the Directors you will be responsible for supporting each of them with different tasks depending on their own needs and support they require. You will be engaging with clients(no selling) and building up relationships, getting to know them and supporting them with information, documentation or appointments that you are required to make on your colleagues’ behalf. 

What else will you be involved in?

  • Responsible for the filing and administration systems electronically and manually
  • Attending meetings and minute taking
  • Assisting with the Quality Assurance 
  • Drafting and editing company manuals 
  • Diary management 
  • Assist in the Executives work programmes 
  • Sometimes attend site meetings and take minutes for design
  • Updating and being responsible for online file share portals
  • Responsible for the companies SharePoint home page 
  • Liaising with finance in relation to invoices, accounts queries 
  • Liaise and work with external providers
  • Facilities for the office and ensure the office is up to a high standard including working with the cleaning contractors 
  • Organise and coordinate annual events including client events and the company annual study trip away 
  • Administration for bids, client files, website, promotional material and more.

What do we need to see from your experience?

  • Super organised individual is essential
  • IT literate - MS Office Suite including SharePoint
  • The drive to work from home and self-motivate until the office returns
  • Proven track record in supporting as a PA/EA and running a busy office function
  • First class presentation and communication skills and be able to work with people at all levels
